Sometimes mailing list members fail to receive messages sent through cPanel’s Mailman system. This issue usually occurs when the message headers are not configured correctly.

 

Problem

  • You send a message to a mailing list (e.g., newsletter@example.com).

  • Recipients do not receive the message.

  • Other non‑list e‑mail messages are delivered normally.

 

Cause

  • The From or Reply‑To header in the outgoing message uses an address from a free e‑mail provider (e.g., Gmail, Hotmail, Yahoo).

  • Many mail servers block such messages because spammers often forge free provider addresses.

  • Additionally, if the Reply‑To header points to a list member’s personal address, some providers will reject the message.

 

Resolution

To fix this, configure the mailing list to rewrite headers so they use your domain’s address:

  1. Log in to cPanel.

  2. On the Tools page, in the Email section, click Mailing Lists.

  3. Under Current Lists, locate the list → click Manage.

  4. In the Mailman admin interface, go to General Options.

  5. Under General list personality:

    • Locate Details for from_is_list → select Munge From.

      • This rewrites the From: header to use the mailing list’s address.

  6. Under Reply‑To: header munging:

    • Set first_strip_reply_toYes.

    • Set reply_goes_to_listThis list.

  7. Click Submit Your Changes.

 

Notes

  • Always use e‑mail addresses under your own domain for mailing list messages.

  • Avoid using Gmail, Hotmail, or Yahoo addresses in headers.

  • This issue applies to shared hosting and reseller hosting packages.

  • Managed VPS and Dedicated servers are not affected.
